A sample is the buyer's reference for a wholesale order, but it is only useful when its identity is recorded clearly. Importers should not approve a sample from a photograph or a casual message. The approved record should connect the sample to SKU, voltage, battery, charger, motor, drive, functions, colour, package and destination market. This makes later production and inspection easier to explain.
Record the sample identity
Write the SKU, sample date, version, voltage, battery type, charger, motor count, drive, remote control, accessories and colour. Photograph the product and the rating labels. If a sample uses a temporary part, write that limitation before approval. The product catalogue helps identify the model, but the signed or written confirmation should be the order reference.
Test the functions
Check power, forward and reverse movement, steering, lights, music, Bluetooth, remote control, charging, battery indication and any model-specific function. Note unusual noise, loose parts, poor fit, damaged wires, weak switches or missing accessories. Test the charger with the stated battery and confirm the plug and manual language for the target country.
Sample approval table
| Item | What to verify | Record |
|---|---|---|
| Identity | SKU, version and date | Photo and sample number |
| Electrical | Voltage, battery, charger and fuse | Label and specification |
| Function | Movement, lights, sound and remote | Test result |
| Package | Carton, accessories, manual and labels | Packing checklist |
| Market | Warnings and required documents | Destination review |
Approve changes separately
Sometimes the buyer wants a different colour, logo, carton, accessory or battery after viewing the sample. Do not treat the new requirement as automatically approved. Request a revised confirmation, updated photos or a second sample when the change affects function, weight, packing or documents. For private label orders, approve artwork before printing.
Link sample approval to inspection
Tell the factory which points are critical and which are cosmetic. Ask how the approved sample is kept as a production reference and how defects are recorded. A final inspection should compare the production goods with the same specification, not with a different image or old quotation. Review the Factory Facts page for supplier context, then keep the order evidence in your own buyer file.
Check market evidence
Read the certification information and ask which available documents correspond to the exact sample configuration. Confirm final obligations with your local adviser or authority. A sample approval does not replace destination-market compliance review.
Send an approval inquiry

Frequently asked questions
Can a photograph approve a sample?
No. A photograph is useful evidence, but the buyer should record physical and functional checks.
What happens if the factory changes a component?
Ask for written notice and decide whether a revised sample or document review is needed.
When should packaging be approved?
Before printing and before mass production, with carton contents and labels confirmed.
